Official Information Requests (LGOIMA)

Bay Venues Limited is committed to transparency and accountability. Individuals have the right to request official information held by Bay Venues under the Local Government Official Information and Meetings Act 1987 (LGOIMA).

This page explains how to make a request, what to expect and a copy of recent requests and responses.

What is a LGOIMA?

The Local Government Official Information and Meetings Act 1987 (LGOIMA) gives people the right to request access to official information held by local authorities and council-controlled organisations, including Bay Venues Limited.

The purpose of the Act is to promote transparency and accountability, enable public participation in decision-making, and protect sensitive information where appropriate.

Making a Request

You can request any official information held by Bay Venues.

Your request should clearly describe the information you are seeking, include your full name, and include a contact method such as an email or postal address.

What Happens Next

Once we receive your request, we will acknowledge it as soon as reasonably practicable. We may contact you if clarification is required. Your request will be processed in accordance with LGOIMA requirements.

Timeframes

Bay Venues must respond to your request as soon as reasonably practicable, and no later than 20 working days after the request is received.

This timeframe may be extended if the request is large or complex, or if consultation is required. You will be notified if an extension is needed.

Tips for Making a Good Request

Be specific about the information you need, include relevant dates or timeframes, avoid overly broad requests, and state your preferred format for receiving the information.

Withholding Information

While Bay Venues aims to release as much information as possible, some information may be withheld in accordance with LGOIMA. This may include protecting personal privacy, commercial sensitivity, legal privilege, or health and safety considerations. Reasons for withholding will be explained.

Refusing a Request

A request may be refused if the information does not exist, cannot be found, is frivolous or vexatious, is already publicly available, or requires substantial collation. Where possible, we will work with you to refine your request before refusing it.

Proactive Release

Bay Venues is committed to proactively sharing information where possible and may publish commonly requested or significant information to support transparency.
